How to send an email campaign with the Mailer app

1. Create message content

When creating a new campaign, it is convenient to pick one of the existing templates. If none of them suits your needs, create a completely new message using the Blank option.

The visual text editor (WYSIWYG) allows you to quickly prepare a new message with desired formatting. There is also the option of editing its source code using HTML tags and CSS styles.

When you have written the text, save it to proceed to the next step.

2. Select recipients

To add recipients to your campaign, you can select email addresses of contacts stored in your account; e.g., those managed by the CRM app, or also manually specify additional addresses in a text field. There are several options to select recipients by different criteria:

Language. If different recipients in your clients database have different languages specified in their profiles then you can send your message only to those who speak a certain language.

Segments. These are groups of contacts which you can arbitrarily set up in the CRM app. Each segment can contain an unlimited number of contacts and each contact can be added to any number of segments.

In addition to custom segments, in the CRM app there are also special system segments automatically created by various apps such Store or Blog. Those segments contain contacts created by means of corresponding apps: online store customers, authors of comments in the blog, etc.

If you select several segments containing the same contact then your message will be sent to such a contact only once within a campaign.

Subscribers. This options allows you to select email addresses of the contacts who have submitted their email addresses via subscription forms published on your website.

Additional addresses. Use this field to manually specify any email addresses you would like to send your newsletter to. If these addresses are not yet available in the CRM app then they will be saved there once your campaign have been completed.

Once you have selected the recipients, proceed to the next step.

3. Setting up sending parameters

To send a message, you need to set up several parameters listed below:

Sender. This is the email address which will be added to the From field of your message.

Return-path. It is recommended to set up connection to a special mail box for collecting diagnostic messages from mail servers. The Mailer app will automatically retrieve all incoming messages from this mailbox to generate statistical data for email campaigns efficiency analysis.

Sending speed. If there are many users of popular mail services (e.g., Gmail, Yahoo! Mail, Outlook.com, etc.) among your recipients then it is very likely that your message, if sent to a large number of recipients within a short period of time, will result in your mail server being blacklisted by recipients’ mail servers. To prevent your campaign from appearing as SPAM, limit the sending speed.

UTM tags. When this option is enabled, so-called UTM tags are added to all URLs contained in the message, which will allow the Google Analytics service,if connected to your website, register traffic statistics.

4. Send test emails

Sending a test message is an important step to check that your newsletter is correctly displayed in different email clients. You can send test messages to yourself or also to several additional email addresses. Once you have ensured that the message is correctly displayed, send it to the selected recipients.

5. Send the message to recipients

The sending begins immediately after you click on the final sending button. Statistical information is updated in real time as a newsletter is being sent.

To pause a running campaign, click the Pause button on the campaign-viewing page.
